Are you an administrative professional looking for a dynamic and growing organization that will both challenge and reward you? We are looking for a Manager, Administrative Operations to lead our Main Office administrative operations and its administrative team.

OVERVIEW

As the Manager, Administrative Operations you'll be responsible for planning, directing, organizing and maintaining control of office activities. You'll work to create a better administrative output and higher efficiency.

JOB DUTIES

  1. Coordinate team member selection, training, scheduling and development of direct reports and ensure all team members comply with appropriate policies and procedures.
  2. Establish office and work standards, policies and procedures to improve efficiency and effectiveness of administrative team; review and update as necessary.
  3. Oversee and perform general administrative functions such as answering phones, typing, copying, faxing, filing and other duties.
  4. Oversee and update master calendar for Operations management. Schedule appointments, meetings, and conference calls; prepare meeting minutes and reports.
  5. Prepare, print, or export various spreadsheets, reports and statements as requested.
  6. Ensure Operations file system is maintained and community files are accurate and complete; maintain and organize electronic files and folders, and archive as needed.
  7. Administer and maintain national vendor accounts as assigned.
  8. Facilitate various ad hoc projects including obtaining project details and delegating tasks within team; provide reporting on progress and ensure projects are completed on a timely basis.
  9. Oversee and assist with preparing resident and community communications such as flyers and notices as requested; review various communications prepared by administrative and field team members to ensure accuracy and appropriateness.
  10. Ensure general office area is maintained and organized to provide an efficient working environment.
  11. Maintain community and resort memberships such as MHI, MMHA, and ARVC; add/remove memberships for acquisition/disposition properties, code invoices for payment, and coordinate corporate attendance and sponsorships to events and fundraisers.
  12. Assist Acquisition department with administrative assignments related to new acquisitions; delegate responsibilities within team as needed.
  13. Collaborate with Sr. Retail & National Accounts Analyst on coordination and maintenance of retailer agreements.
  14. Maintain community rules & regulations and RV agreements for each location; obtain proper approvals from DVPs/SVPs and update documents as necessary.
  15. Ensure 55+ locations remains compliant with HUD regulations on a biennial basis.
  16. Assist with fielding resident and community calls and e-mail correspondence as needed.
  17. Oversee inspection reporting process; ensure RVPs submit report and Administrative Assistants processing is completed on a timely basis.
  18. Other duties as assigned.

REQUIREMENTS

  • High School Diploma or GED
  • 8-10 years administrative experience with at least 2 years in a supervisory role
  • Prior experience in a property management office environment, a plus
  • Excellent customer service and communication skills
  • Demonstrated leadership abilities
  • Strong problem-solving skills
  • Excelled attention to detail, organizational and multitasking skills
  • Professional appearance
  • Advanced computer proficiency with the ability to use Microsoft Office Suite, email, internet, and provide data entry in a timely and efficient manner
