Job Summary

As an Executive Assistant, you’ll provide support to the EVP of Corporate Strategy and Business Development and the broader Corporate Strategy team by performing advanced, diversified and confidential administrative duties.  You’ll serve as a primary point of contact for internal and external constituencies on matters pertaining to the business, act as a liaison amongst various internal departments and external partners and provide administrative support necessary for the Strategy team to function effectively.

Job Duties

  • Provide general administrative assistance to the Strategy team, including calendar management, meeting coordination, and document preparation.
  • Schedule and coordinate activities with service providers supporting Mergers & Acquisitions, Dispositions, and other corporate initiatives.
  • Provide organizational support including preparation, organization and transmission of documents and presentations that are critical and sensitive to the organization.
  • Review and summarize documents, contracts, and other technical materials as directed.
  • Facilitate internal and external meetings ensuring relevant teams are aligned and informed.
  • Work collaboratively with Executive, Operations, Legal, Accounting, FP&A, IT, and other departments to support the advancement of initiatives requiring multiple stakeholder inputs.
  • Prepare travel itineraries with contingency planning for schedule changes and last-minute priority shifts.
  • Review and process contracts and invoices as directed.
  • Prepare, reconcile, and submit expense reports, ensuring accuracy, compliance, and timeliness.
  • Maintain and organize files and databases utilized regularly by the executive leadership team.
  • Other duties and special projects as assigned.

Requirements

  • High School Diploma or GED (Required)
  • Bachelor's Degree in in business or related field (Preferred)
  • 5+ years administrative experience, preferably in public company, real estate, legal, or corporate environment
  • Familiarity with real estate transaction processes or property operations is a plus
  • Strong attention to detail, organizational and multitasking skills
  • Ability to interpret and effectively manage a large and complex workload with competing priorities
  • Excellent communication and interpersonal skills
  • Ability to work independently as well as part of a team in a fast-paced multi-tasked environment
  • Ability to maintain strict levels of confidentiality
  • Advanced computer proficiency with the Microsoft Office suite
  • Experience with file management systems (ie: data rooms, SharePoint, OneDrive, Dropbox)
  • Ability to provide data entry in a timely and efficient manner
  • Ability to work extended hours
  • Ability to respond to business needs after normal business hours
  • Ability to perform in-person work on a consistent basis
