Are you any administrative professional who enjoys working with the public? We are looking for a Receptionist to greet visitors, answering phones, and perform general administrative duties. If you have experience working at a front desk, we want to talk to you!

OVERVIEW

The Receptionist greets all visitors and guests, answers incoming calls on a multiline phone system, and routes them to the appropriate department. They respond to the general inquiries and provide administrative support to several departments throughout the office.

JOB DUTIES

  1. Performs general administrative support functions such as answering and transferring phone calls, sorting and distributing mail, typing, copying, faxing, etc.
  2. Greets all visitors and guests.
  3. Updates and distributes internal phone list; maintains and updates fax machine speed dial numbers.
  4. Ensures community and resort mailing labels and envelopes are updated with current information.
  5. Posts daily conference rooms schedules.
  6. Maintains office machines and performs basic repairs. Places service calls for all Main Office copiers, as requested.
  7. Creates mailboxes and provides OfficeMax and FedEx access for new team members.
  8. Assists with ad hoc projects for various departments (i.e. data entry and mailings).
  9. Cleans and maintains the cafe and kitchen areas including counters, tabletops, and cabinet faces. Loads and unloads the dishwasher daily.
  10. Maintains an adequate amount of supplies for the mailroom and cafe, ordering supplies as needed.
  11. Places all maintenance repair and janitorial requests as needed.
  12. Other duties as assigned.

REQUIREMENTS

  • High School Diploma or GED
  • Minimum of 1 year multi-line phone system experience
  • Minimum of 1 year administrative experience
  • Excellent verbal and written communication skills
  • Good organizational skills
  • Basic computer proficiency in the Microsoft Office Suite, including the ability to use email and internet
